    In this position, you will be working with our local office team as well as staff across the firm to provide project management and accounting assistance and to facilitate the day-to-day operations of the office.

    Duties include:

    • Assist project managers and design teams with project set-up, contract administration, insurance certificates, financial reporting, labor budgets, planned hours, and document preparation
    • Assist office leadership with project staffing plans, labor and utilization reports, expense reports, timesheets, and other tasks using Vision accounting software
    • Train and assist employees on using Vision and running reports
    • Oversee a part-time office administrative assistant/receptionist and perform some of their duties when they are not in the office
    • Manage office equipment (copy machine, etc.), perform IT troubleshooting, and coordinate technology support with firm-wide IT staff; and assist with software usage questions in Word, Excel, and other programs
    • Receive and coordinate incoming/outgoing shipments (courier, overnight, mail)
    • Provide assistance to firm Human Resources personnel including maintaining benefits information, supporting recruitment and hiring efforts, and conducting new employee orientation
    • Assist with scheduling in-person and online meetings and coordinating other events
    • Identify opportunities to support all office staff and enhance the office environment and systems


    • Minimum of five years of experience in an administrative role; candidates with administrative experience in the Architecture/Engineer industry or professional services firm preferred. 
    • Working knowledge of a CRM such as Deltek Vision, preferred.
    • Strong working knowledge of MS Office Suite required.
